What Audient Solutions Does

Audient Solutions provides AI-powered voice receptionist services for businesses. When someone calls one of our client's phone lines, our AI agent answers the call, collects information from the caller, and logs it for the business to follow up on. We also provide a dashboard where our clients can view call logs, recordings, and transcripts.

Who This Policy Applies To

This policy applies to:

  • Callers — people who call a phone number handled by an Audient voice agent
  • Clients — businesses that use Audient's voice agent and dashboard services
  • Website visitors — anyone visiting audientsolutions.com

What Data We Collect

From callers:

  • Call recordings — audio recordings of phone conversations with our voice agent
  • Call transcripts — text transcriptions of those conversations
  • Caller information — name, phone number, relevant business details (such as an address or reservation), and the reason for the call, as provided by the caller during the conversation
  • Call metadata — date, time, duration, and phone number of the call

From clients:

  • Account information (name, email, business name)
  • Business information entered into the dashboard (such as menus, property details, hours, and policies)
  • Payment information (processed via ACH through our banking partner — we do not store bank account numbers on our servers)

From website visitors:

  • Information you submit through contact or demo request forms
  • We do not currently use analytics cookies or tracking pixels

Call Recording Disclosure

All calls handled by Audient voice agents are recorded and transcribed. The voice agent discloses that the call is being recorded at the beginning of each call. Recordings are used to provide the service (logging requests for our clients) and to improve the quality of the voice agent.

Louisiana, where Audient Solutions is based, is a one-party consent state for call recording. Our voice agents inform callers that the call is recorded as a matter of transparency and best practice.

How We Use Your Data

  • To provide the voice receptionist service — answering calls, logging requests, and displaying them on the client dashboard
  • To improve the quality and accuracy of our voice agents
  • To communicate with clients about their account and service
  • To process payments

We do not sell your data. We do not use your data for advertising.

How We Store Your Data

Data is stored using Supabase, a cloud database platform with encryption at rest and in transit. Our web application is hosted on Vercel. Payment processing is handled by Gulf Coast Bank and Trust via ACH billing. We use reasonable security measures to protect your data, but no system is 100% secure.

Who We Share Data With

We share data only with the third-party services required to operate:

  • Retell AI — processes call audio and generates transcripts. Call audio and transcript data is transmitted to Retell to power the voice agent.
  • Supabase — stores call logs, transcripts, and client data
  • Vercel — hosts the web application and dashboard
  • Gulf Coast Bank and Trust — processes client payments via ACH billing

We do not share data with any other third parties. We do not sell or rent data to anyone.

Data Retention

Call recordings and transcripts are retained for 90 days from the date of the call. After 90 days, recordings and transcripts are deleted automatically.

Client account data (business information, dashboard settings) is retained for the duration of the client's active subscription plus 30 days after cancellation to allow for data export.

Data Ownership

Our business clients are the data controllers for the caller data collected through their voice agent. Audient Solutions acts as a data processor, handling data on behalf of our clients to provide the service.

Clients own their data. Upon termination of service, clients may request an export of all their data within 30 days.

Your Rights

You have the right to:

  • Request access to the data we hold about you
  • Request deletion of your data
  • Request correction of inaccurate data
  • Request a copy of your data in a portable format

For callers: Because Audient processes caller data on behalf of our business clients (who are the data controllers), please contact the business you called directly to exercise these rights. If you're unsure who to contact, email us and we will direct you to the appropriate party.

For clients: Contact us at the email below to exercise any of these rights. We will respond within 30 days.

Changes to This Policy

We may update this privacy policy from time to time. When we do, we will update the "Last updated" date at the top of this page. For material changes, we will notify active clients by email.
